Draft — proposed terms pending owner approval and legal review. Not a final policy.
This policy explains deposits, cancellations and refunds for Motivance Media services. The specific terms in your signed proposal or service agreement ("Agreement") take priority over this general policy.
1. Deposits and payments
- Website projects: a 50% deposit is invoiced after the Agreement is signed. The remaining 50% is due after the agreed review and approval stage, before final delivery or transfer of project files.
- Other one-time projects: generally 50% deposit and 50% final payment, unless the signed Agreement specifies another arrangement.
- The deposit reserves production time and covers initial strategy and planning.
2. Refunds for one-time projects
You may cancel a project in writing at any time. Refunds depend on how far the work has progressed:
- Work not yet started: if you cancel before any work has begun, your deposit is refunded, less any nonrecoverable third-party expenses already incurred on your behalf. [OWNER TO CONFIRM: deadline for this refund, e.g. a number of days after payment.]
- Work already performed: fees for work completed up to the cancellation date remain payable. Any portion of your payment that exceeds the value of work performed and committed costs is refunded. [OWNER TO CONFIRM: how work performed is measured, e.g. by milestone or hours.]
- Nonrecoverable third-party expenses: costs already paid to third parties for your project (such as software, stock assets, domains or ad spend) are not refundable by Motivance Media and are subject to those providers' terms.
- Milestones that you have approved and that have been delivered are not refundable.
[LEGAL REVIEW: confirm the refund deadline and any consumer or state-law requirements that apply.]
3. Monthly services
- Monthly services are billed in advance and continue month to month until cancelled, unless the Agreement states otherwise.
- You may cancel with 30 days' written notice, subject to your signed Agreement.
- Services already paid for continue through the end of the notice period. Any invoices for that period, and any outstanding balances for work already performed, remain payable.
- [OWNER TO CONFIRM: whether any unused prepaid period after the notice period ends is refunded.]
4. Revisions and satisfaction
Each project includes two reasonable revision rounds within the original scope, unless the Agreement states otherwise. We will work with you to resolve concerns about delivered work before any refund is considered. Dissatisfaction with marketing results is not by itself grounds for a refund, as results are not guaranteed.
5. Third-party costs
Advertising spend, software subscriptions, domains, stock assets and other third-party charges are paid to those providers and are subject to their own refund terms.
6. How refunds are issued
Approved refunds are returned to the original payment method through our approved payment provider. Bank processing times vary.
7. Late and failed payments
Invoices have a seven-calendar-day grace period after the due date. After that, and after written notice, work may be paused until the outstanding invoice is paid. No automatic late fees are charged.
8. Contact
To request a cancellation or refund, please use our contact page or email [OWNER TO CONFIRM: active business email].
